1) SMALL BUSINESS OWNER PLAYS ROLE OF INSTRUCTOR
Allot 25% to 40% of your time to teach the complex day-to-day work you do. It could be necessary work that may not yield money. I can almost hear you say: “Only I can do that work”.
I’ve heard this one before. Yes, you are the master of your trade. But if you want to get more time back for yourself, you have to delegate.
You can’t delegate if you can’t teach someone what you do.
2) MAKE A LIST OF TASKS
Make a list of all tasks you do from 8 to 5 – if these are your working hours in business.
It’s as simple as taking notes for a week so you get the pattern. Once you have it down, the next step is to look at the ones that make you the most money.
3) IDENTIFY TASK VALUE
There are two types of tasks – at least two that I can divide them into.
One type could make you happy. The other type could bring you money.
Choose the ones that do both – make you happy and add money to your bottom line. Decide to do them yourself. The other ones are ready for transfer.
4) RANK TASK VALUE
Once you’ve separated the tasks you’ll keep, rank the remaining tasks on value.
Rank them from 1 to 3. Now you’re ready for the next step.
5) PICK EMPLOYEE READY FOR TASK TRANSFER
Check your organization chart. Place names of people next to the work you want them to do – if they aren’t already there.
Now look at the tasks you have at hand. And assign them to people according to their skills.
6) INSTRUCT EMPLOYEE ON SELECTED TASKS
Use a 4-step method to instruct the right employees on the tasks you have for them. First two steps will be yours to do. Next two steps are for the person learning to do the task while you help and watch.
7) DOCUMENT WORK
Finally, record the tasks you want to transfer. Observe the stage and the time it takes to go from stage 1 to stage 4.
For this plan to work, you have to keep an organization chart. Keep it up to date. Once you do, the rest is easy.
